Introduction

The Google File Embed activity places a link to a native Google Suite file - Document, Sheet, or Presentation - from the instructor's Drive directly into your AsULearn course, and provides students with view-only access to the file. Basically, it is a way for the instructor to avoid posting a share link to a file that is still private, and getting all those Request access emails. It will change the permission on the file to Anyone with the link can view, so be aware and use accordingly. Note: You must have the permissions to change file permissions and share the file if you are not the file's owner.

Use Your App State Gmail Account!

  • For best results, use Google Chrome.
  • This LTI tool requires you to be logged into your @appstate.edu Google account only in your Chrome browser. If you are signed into multiple Google accounts in the same browser while using this activity, unpredictable results may occur.
  • Each Google File Embed must be created separately if you're adding more than one. You should not duplicate the activity in AsULearn.

Using the Google File Embed tool

1. Open the More menu in the Settings Bar at the top of your course page.

2. Select "LTI External Tools" from the list. 

3. Click the switch button across from "Google File Embed" in the "Show in activity chooser" column.

1. Enable Edit mode in your course, then select ⊕ or +Add activity or resource in the topic where your Drive file should be embedded.

2. Select Google File Embed  from the Activity Chooser.

3. Before naming the activity, click the  Select Content button.

  • This is where you will select the file.
  • Your @appstate.edu Google account will appear because you are logged in. 

4. Click the Select file button.

5. Search for the file in your Drive.

Can't find what you're looking for? Try using the search bar, or toggle your view to show a list of files instead of large icons. 

6. Select the file, then click Add


Permissions change

Google will remind you that it is about to change the share permission on that file to Anyone with the link can view.

7. Click Attach to finish selecting your file.

  • You'll be returned to the Tool setup screen in your course.
  • The Activity name is filled in with the name of the resource you just selected.
    • This name is editable, but beware of creating confusion by changing the name of the shared file.
  • Do not change the Tool URL. Changing this URL will break the activity.

8. Click the Save and return to course button at the bottom of the page.

Your selected file will now be available in your course, and your students will have view access to it.
