Using a fax server allows you to send and receive faxes directly from your computer for added security and more efficient, sustainable operations. 

Send a Fax

  1. Compose an email.
    1. Enter the phone number in the “to” field with @fax.appstate.edu (example: xxx-xxx-xxxx@fax.appstate.edu).
    2. Include an email subject
      A test email being sent in Gmail, with the to field showing the fax number, a test subject line and body of the fax email draft.


    3. Important Notes 
      1. What is in the body of the email can be considered the cover page or you can use an App State-branded cover page (Google Drive: coming soon).
      2. What is in the subject will be added to the header and what is in the email will be added to the body of the fax.

  2. Attach the document(s) you wish to send. The order you attach is the order documents that will be sent.
    1. Acceptable file types include:
      1. PDF
      2. Word Doc
      3. Image files (jpeg, tiff, bitmap)

  3. Click "send," like you would an ordinary email, and your fax will be sent. (See example of a sent message below).

You will receive a send receipt email from GoldFax@appstate.edu once a message has been sent. (See example below).

Send Receipt Email

This option will only be available for those sending confidential or sensitive data.

 To request this Sharp Copier feature, follow these steps:

  1. Submit a Printing Assistance request.
  2. Select PaperCut/Copier Feature Request from the assistance type drop-down menu.

  3. Title your summary GoldFax on Sharp Copier, enter a short description, and then click Create..

Once your request has been approved and implemented you can send a fax from the copier.


To send a Fax from the Copier:

  1. Authenticate at the printer by either AppCard swipe, entering your Banner ID or App State username and password.

  2. Select the GoldFax button on the copier.

    Select the Goldfax button the Copier.

Incoming Fax

Inbound Faxes will be received in a uStor folder. 

    1. This will be the default option.
    2. You must decide who needs access to the folder or folders collecting incoming faxes.
    3. You can opt-in for email notifications when a fax has been recieved.
    4. More info on uStor, also know as the M or P Drive.

Important 

If you work with confidential or sensitive data, having the fax go to uStor is the most secure option.

Follow the steps below for assistance with 

  • Requesting access to a fax line or folder
  • Requesting a new fax line

  • Removing a fax line 
    • Note you can still send a fax via email without a line, but you can not receive one.
  1. Access the Service or Software Request form. Search for and then select Fax with GoldFax, in the service or software search bar. 
    Type Fax with Gold fax in the Search bar.

  2. Select your Fax Request type from the drop-down menu. 
    Select Fax Request Type from the drop-down menu.

  3. Fill in the Summary and Description then click Create to submit the request.
  1. How will this process change for incoming or outgoing messages?
    1. This new process will allow for faxing via email. Incoming faxes will be delivered to uStor folder(s). You can also opt-in for an email notification when a fax has been received. 
      1. eGoldFax will be used by Health Services (cloud solution for Medicat).
      2. Everyone else on campus will be using GoldFax.

  2. Will there be an increase in cost?
    1. No, the costs will not increase.

  3. Do I need a new fax line to move to the fax server?
    1. No, we can port your current fax line to the new fax service.

  4. Can I still use my Sharp MFP for faxing?
    1. Yes, we will install eGoldFax software for faxing if requested. This option will only be available for those sending confidential or sensitive data. To request this Sharp Copier feature, follow the steps under Copier to Fax above.

  5. Can I still use my dedicated fax machine for faxing?
    1. You can use your Sharp copier but stand-alone fax machines are no longer supported. This is due to AT&T, our contracted provider, no longer supporting analog fax lines and that is what would be required for a stand-alone option. You do not have to have a fax machine to send and receive faxes with GoldFax.

  6. Can I share a fax line with another department?
    1. Yes, however, if inbound faxes use a shared folder for delivery that folder will be shared with both areas sharing the line and this may not be the best solution for all.

  7. What are my fax delivery options?
    1. Fax by email via (xxx-xxx-xxxx)@fax.appstate.edu.
    2. Fax from mobile devices via (xxx-xxx-xxxx)@fax.appstate.edu.

  8. Will there be a busy signal?
    1. Faxes will no longer get a busy signal; they will queue and send in the order sent/received.

Google (Gmail) is not approved for confidential data sharing or storage, all faxes being received with confidential information must use the default receipt location of a uStor folder. NOTE: You can receive a notification through Gmail that the fax has been received in uStor. 

To send a fax with confidential information, it must be sent through the Sharp copier using GoldFax. We also have FileShare which allows the App State community to securely share files both inside and outside of the University.

If GoldFax is not on your Sharp copier after your department has migrated to the Fax Server and you must send confidential or sensitive information, a support ticket must be submitted to ITS. See instructions under Copier to Fax above.
