This report was authored by Academic Technology’s Application Developer & Programmer team, the goal being to make Midterm Grade and Early Intervention Team (EIT) reporting easier for faculty, as well as some Final Grade Reporting when you are required to enter the “LDA” (last date of attendance/activity) when assigning certain grades.

What it does

This report allows the instructor to generate and download a csv file for selected (or all) currently enrolled students in a course that includes:

  1. Name
  2. Email address
  3. Course grade
  4. Number of sessions missed (if the course used the attendance activity and sessions were marked)
  5. Last date of activity/attendance

When students drop a course, they are removed from the AsULearn participants list so that faculty do not have inactive students clogging their gradebook, groups, skewing averages and counts, etc. However, the grade histories/userdata for those students are retained in AsULearn. This plugin will let you include dropped students and their data in the report. You’re left with a csv file that gives you quick access to the student’s grade, how many class sessions the student missed if you used the AsULearn attendance activity, and the last date the student was marked present or accessed the AsULearn course.

How to use it

Navigate to the course home page in AsULearn. In the course menu along the top, select Reports. In the list of Reports, select Student reports:

The Student reports page will load, only showing participants with Student role in the course. You can:

  1. Add dropped students
  2. Select all students or individual student(s) for inclusion in the report
  3. Select the report type
  4. Create and download the report

Note!

 If you have multiple pages of students, be sure to scroll down and click Show all x (x being the total number of students in the course), so you can view/select all students if needed:

If you just wish to run a report on all your current students, just use the Select all box at the top of the user list (see 2 in the image above). You can also select any individual or combination of current students.

Once your selection is made, the reports menu is enabled, and you can click the report you desire. We always recommend shift-click to select them all for inclusion in one csv (see 3 in the image above).

Adding Dropped Students

If you also need to add a student or students who have dropped so they will be included in the report, click on the Add students button at the top or bottom of Student Reports page only (see 1 on the image above). In the modal window, search for the student (username/email is best), click on the name when they return in the search, then Add students. Note that you can search/click to select multiple students, then add them all at once with the Add students button:

The selected student(s) will be added. You can additionally select other students already in the course, or all students if you wish. Once your selection is made, the reports menu is enabled, and you can click the report you desire. We always recommend shift-click to select them all for inclusion in one csv. Your report will download to your browser’s designated downloads folder or desktop. You may then return to your course homepage or any other area in AsULearn.

Course grade: This course was using Natural aggregation in the gradebook, adding up points. If you aren’t using the AsULearn gradebook, you’ll see ‘No Data.’

Number of sessions missed: This course had 15 attendance activity sessions in it. In a course that did not use the attendance activity, this column would say ‘0 out of 0’ (or, if you don’t use the attendance activity, just omit it from the report selection).

Last date of activity/attendance: The report will always show the last date for any logged activity. If there is no logged activity and there is an attendance activity, then the last date marked present will be used.
