This document explains how to set up document retention (aka. Hold-for-Print) for Sharp printer-copiers, using your local computer printer driver. This option is useful if you plan on printing sensitive content to a public printer. It allows the printer to hold the job until you walk up and release it for printing. 

Step-by-step guide

Setup for Windows Users

  1. Click on the magnifying glass in the bottom left corner of your screen
  2. Type in Printers & Scanners and press Enter
  3. Click on the printer you want to edit
  4. Press the Manage button
  5. Select the Printing Preferences option
  6. Make sure the Main tab is selected
  7. Change the Document Filing drop-down menu to say Hold Only.
  8. Check the box next to PIN Code
  9. Type in your 5-digit code in the text field below.
  10. Press the OK button to save your settings.
  11. Exit out of the printer settings window by pressing the X in the top right corner.

Setup for Mac Users

  1. Open a new MS Word document
  2. Select the Print option from the File menu
  3. Use the Printer drop-down menu to select the printer you want to edit
  4. Use the 3rd drop-down menu to select Job Handling
  5. Change the Document Filing drop-down menu to say Hold Only
  6. Type in your 5-digit code in the text field below.
  7. Use the Presets drop-down menu at the top to select the Save Current Settings as Preset option
  8. Type in “Hold for Print” in the Preset Name text field
  9. Make sure the “Only this printer” option is selected
  10. Press the OK button to save your settings.
  11. Note that you must select this Preset each time you want your print job to Hold for Print, from the program you are printing from.
  12. Cancel the print job.
  13. Exit out of MS Word.

Retrieval from Printer

  1. From the printer walk-up screen press the HDD File Retrieve button
  2. Select the Main Folder option
  3. Find and select your print job
  4. Pull out the keyboard tray below the screen
  5. Type in your PIN
  6. Release the job
