Saving and File Recovery
Use Save As to create a local copy when working on or recovering a file.
In Word, select File > Save As, give the file a new name, and save it in Documents.
This prevents changes to the original document and helps confirm where (or if) the file was saved.
- Temporary or AutoSaved files may appear with a tilde (~) before the filename and an .ASD extension instead of .doc or .docx. These are usually hidden and stored in the Documents folder.
If a user is logged out or loses a file, call Tech Support for recovery.
Rebooting the machine may help, but unsaved data will be lost.
Wireless Access
Follow the guides on wifi.appstate.edu to set up your wireless access.
Flash Drives
Always back up flash drive contents, as drives are easily corrupted.
Close all files before removing the drive, especially on macOS.
Use the Safely Remove or Eject option before unplugging.
Printing
General Printing
Choose the correct printer queue and number of copies:
B&W – any black-and-white printer in the library
Color – color printer on the main floor
Print jobs remain in the queue for 1 hour before deletion.
Large Documents or PowerPoint Files
For large files (100+ pages), split the document into smaller sections (e.g., pages 1–100, 101–200).
If the printer’s green light is flashing, the job is processing — please wait.
For PowerPoint, download the file from AsULearn and open it in PowerPoint to select multiple slides per page.
Resume and Specialty Printing
Do not load custom paper (e.g., card stock, resume paper) into public printers.
The Print Zone offers free resume printing (up to 10 copies) using your own paper.
Visit the Print Zone service desk for assistance.
Microsoft Office
Word
Save documents in both formats if needed:
.doc (Word 97–2003) for older compatibility
.docx (Word 2016 and newer) for current versions
Saving both ensures formatting remains intact between systems.
Excel
Format your data (titles, numbers, labels) before creating charts.
This makes chart creation faster and more accurate.
Software Center
All public desktops include Software Center for program installation.
Note that software names may not always be intuitive — some appear under department names or alternate titles.
