The standard for former student email accounts has been updated to the following:  

A student's Google account is valid as long as the student is enrolled.  Access to the account will be extended as a courtesy to the student for 14 months after the last attended semester.   If a student becomes employed by the university the email account will terminate on the last day of university employment forfeiting the 14-month grace period.  

Microsoft and Adobe Cloud Services are disabled on the last day of the academic term for graduating/former students.

Please make sure all data is offboarded before the end of the term. 

We are actively offboarding accounts for the following terms:

  • Students who graduated or last attended in the Spring, Summer, or Fall of 2023
  • Students who graduated or last attended in the Spring of 2024

If your App State Google account falls into this category, you must retrieve any emails, drive files, or calendar appointments before the date specified in your email communications. We will send reminder communications 60, 30, 21, 14, and 7 days prior to the purge deadline.    

The University assumes no responsibility for backing up personal material or personal information stored on University Information Technology and shall have no obligation to produce any such personal material or information at any point during or after an individual’s period of employment, enrollment, or other affiliation.

Please take action before the deadline to prevent data loss.

Follow the steps below to prepare for this deletion and to retrieve your account data. 

  • Go to bannerweb.appstate.edu to provide/update your alternate email address on file with the university by selecting the personal information tab then view/update your personal email address tab. Enter an email address and click submit. 
  • This email address will allow the university to maintain communication with Alumni in the future.

Retrieve your Drive files, emails, and other Google data from your Google Apps account before April 4th, 2025.

  • Use this guide, Transfer or Download Content from your App State Google Account, to transfer your Google Apps account data directly to a personal Google account or use Google Takeout to download your Google Apps account data to your personal device.
  • Your data will no longer be accessible after October 18, 2022. Please allow several days to complete this process.
  • Please consider setting your vacation message in your App State account now to notify your contacts that your email address will change. You may also consider sending a message to all contacts to notify them of this change. 

Consider all other accounts/applications your App State email may be associated with.

Before your App State account is deactivated, set an auto-reply (vacation response) in your App State email. This message notifies anyone who contacts you after your access ends that your App State account is no longer active and provides an alternative personal email address where you can be reached. Setting an auto-reply ensures a smooth transition, prevents missed communication, and helps others update their records with your new contact information.
