Role process

Data Structure:

  • This is an active affiliation role. Users within the validity window have active birthright entitlements.
  • Admitted users are placed in the Managed/Admitted Google OU. This OU has email capabilities only.
  • Admitted users are placed in the Admitted Active Directory OU and gain membership in the Admitted security group.
  • An Admitted status is created by a CC (Admit) SARAPPD_APDC_CODE. The start date is informed by the SARAPPD_APDC_DATE.
  •  A "1*" (Admit - Matriculation) code will move the user to the Confirmed affiliation and end the Admitted role with the corresponding SARAPPD_APDC_DATE.

Activation:

  • Admissions initiates Banner account creation upon applicant information submission.
  • Applicant acceptance assigns the user's admitted status via Slate, which in turn updates the Banner account.
  • Slate sends the newly admitted user a confirmation message with their Banner username and ID.
  • The confirmation message includes instructions to wait up to two days for a instructional email from Bravura before attempting to sign in. 
  • Nightly process polling identifies newly admitted students, adds the Admitted role, and timestamp its start date.
    • At the same time, the user's Applicant role is timestamped with an end date.
  • After midnight, Bravura run its discovery process and either creates a new LDAP and AD account, or reactivates either existing accounts.
  • If Bravura created a new AD account, it sends a confirmation email instructing the user on changing their password. If the AD account is not created, no message is sent.

Leaver:

  • Admitted users failing to confirm their enrollment are marked as withdrawn in Banner. Their Admitted status is timestamped with an end date.
  • Withdrawn Admitted students transition to the Inactive Student role which: 
    • disables the user's LDAP and Active Directory account; and
    • moves the user to the Inactive Student Google OU.
