Student Roles

A student user passes through six Bravura roles.

  • Applicant - a Banner account is created to track the user's admission process. Bravura creates a Google account under the Inactive Student OU.
  • Admitted - the user is accepted to attend to App State. Bravura moves the Google account to the Student OU.
  • Confirmed - the user has indicated they will attend App State. Their account remains in the Student Google OU.
  • Student - the user has registered for a class. Their account remains in the Student Google OU.
  • Limited Student - the user did not register for the next term. They are assigned this role for 14 months. They remain in the Student OU.
  • Inactive Student - the user has exceeded Limited Student's 14 month deadline. Bravura will move the account to the Inactive Student OU. Extended membership in this OU will cause the account to be purged. See Purge Process below.
  • Alum - the user has completed a sufficient number of classes to be considered Alumni. There is no OU associated to this role.

Google Organizational Units

  • Student - an active Google OU. The user has full access to the complete Google application suite.
  • Inactive Student - the user in this OU does not have access to their account. All data associated with the account is intact following active status.
  • Pending Purge - a brief period holding OU prior to transitioning to the Purged OU. This OU inherits all Inactive Student restrictions.
  • Purged - the user's account has been purged of data. This OU inherits all Inactive Student restrictions.

Purge Process

Student accounts are purged after 10 months of Inactive Student OU membership.

  • Email and drive content owned by the user are deleted.
  • The user's share access to unowned data is removed.
  • Documents created in shared team drives by the user are not removed.
  • Calendar, photos, and other suite data are not removed.

The purge process is performed outside of Bravura. If a user returns to active status, Bravura will move them to an active OU. Their purged data remains inaccessible.
